EzPraxis gives your front desk and clinicians one calendar for the whole practice. It is therapy scheduling software that also schedules targeted case management services, and it checks every booking against everything else on the calendar.
What you can do
- See month, week and day views, with many clinicians on one calendar.
- Filter by clinician, client, location, status, insurance or unpaid invoices.
- Set office hours, holidays, time off and each clinician’s availability, including recurring Not Available blocks.
- Give each location its own time zone. The calendar shows times in each viewer’s own time zone.
- Follow today’s appointments on the Daily Appointments Board dashboard widget and change their status inline (EHR).
Scheduling conflict detection
New in 2026. EzPraxis alerts you when an appointment or service overlaps another for the same client or clinician, including:
- the same clinician at another location,
- an EHR appointment against a TCM service,
- every occurrence of a recurring series, up to two years ahead,
- the clinician’s availability: Not Available blocks, hours outside their schedule, and time off.
In the EHR, a conflict is a warning: you can create, save or move the appointment anyway. In TCM, an overlapping service at the same location for the same client or clinician is blocked. When a conflict involves another client, that client’s name stays hidden. No-shows and cancellations don’t count, and back-to-back appointments aren’t conflicts.
Recurring and group appointments (EHR)
- Repeat every so many days, weeks, months or years; pick weekdays; repeat monthly by date, by the Nth weekday or by the last weekday; end never, after a number of occurrences, or on a date.
- Edit one occurrence, or that occurrence and the ones after it.
- Run group appointments for PSR, Group Therapy and Club House, with several sessions per appointment, attendance and notes per client, and group progress notes. Each participant gets their own appointment and invoice.
Reminders
- Clients get an email one hour before a telehealth appointment, with the link to join.
- Each clinician gets a daily schedule email at 7:00.
- Clients get an email when a document is waiting for their signature.
Good to know
- There are no SMS or text reminders, and no reminders for in-office appointments.
- There is no list, agenda or room view, and no room scheduling. Conflict checks don’t cover rooms or holidays.
- TCM services don’t repeat on a schedule. Recurrence is for EHR appointments.
- A recurring series can’t be edited all at once: you edit one occurrence, or that occurrence and the ones after it.
- Group appointments are created from the appointment form, not by dragging on the calendar.
- Location time zones are limited to Pacific, Mountain, Central and Eastern.
Frequently asked questions
Does EzPraxis prevent double-booking?
It alerts you. In the EHR, a double-booking shows a warning that you can override. In TCM, an overlapping service at the same location for the same client or clinician is blocked; overlaps across locations or products are warnings.
Can I schedule recurring appointments?
Yes, in the EHR: daily, weekly, monthly or yearly patterns, chosen weekdays, and an end date or a number of occurrences. TCM services don’t recur.
Does EzPraxis send appointment reminders by text?
No. EzPraxis sends email: a reminder one hour before a telehealth appointment, and a daily schedule to each clinician. There are no SMS reminders.
Can several clinicians share one calendar?
Yes. One calendar can show many clinicians, filtered by clinician, client, location, status and more.
